Privacy policy

How we handle what you send us

This policy covers the dzentai.com website and its demo-library request form. It does not cover information a practice enters into the DzentAI application itself.

Effective date: Draft

What we collect

When you request the demo library, the form sends us:

  • Practice name
  • Your name
  • City and State (optional)
  • The videos you chose, or that you ticked "Send all videos"
  • Email (required, so we can send the videos)
  • The newsletter box: whether you ticked it, and if you did, the time you agreed and which version of the box's wording you saw
  • Phone (optional, if you'd like a call)

With each request we also keep a one-way hash of your IP address (not the address itself) and your browser's user-agent text, so we can spot automated or repeated submissions. The form also has a hidden field that people never see; a request that fills it in is treated as automated and gets no reply.

The website itself sets no cookies of its own and runs no analytics or advertising scripts. Some pages embed YouTube video players; YouTube runs those players under its own privacy policy and may set its own cookies.

How we use it

  • To email you the demo videos you asked for.
  • To let our team see your request and follow up with you if you asked for a call.
  • To check that a request comes from a real practice (described below).
  • To send you DzentAI updates and the DzentAI Newsletter, only if you ticked the newsletter box.

We do not sell your information, and we do not share it with anyone for their own marketing.

Who we share it with

  • Email delivery. Our emails, including the email with your videos, are delivered through Microsoft Azure Communication Services. It receives your email address and the content of the email we send you.
  • Lead verification. We look up the practice name, your name, city and state in the public NPPES registry (the US federal registry of healthcare providers) to check that a request comes from a real practice. If your email address is at a practice's own domain (not a free email service), we also visit that domain's public website.
  • An AI service provider. Your name, practice name, city and state, and your role if the request includes one, may be sent to an AI service provider to draft a suggested reply for our team to read. That draft is internal: it is never sent to you. Your email address and phone number are not sent for this.
  • Hosting. Requests are stored in our database on Microsoft Azure.

Review, correct or unsubscribe

To see what we hold about you, correct it, or ask us to delete it, email hello@dzentai.com from the address you used on the form.

The email with your demo videos is a one-time answer to your request; it does not sign you up for anything. If you ticked the newsletter box, every newsletter email includes an unsubscribe link, or you can email hello@dzentai.com and we will take you off the list.

How long we keep it

A retention period has not been set yet; it will be stated here before this policy is final. You can ask us to delete your request at any time.

Do Not Track

This website does not track visitors across other sites and sets no cookies of its own, so a browser's Do Not Track signal has nothing to switch off: we treat every visitor the same way, as if the signal were on. Embedded YouTube players follow YouTube's own handling of that signal.

Changes to this policy

When this policy changes, we post the new version on this page and update the effective date at the top. Changes that affect newsletter subscribers are also announced in the newsletter.
